The Admin Team provides support to the Contracts Department, when physical contracts come through the mail. Digital contracts that come through the PM or are sent directly to Contracts are not the responsibility of the Admin Team. The EA may assist in acquiring signatures from executive staff.

The Contracts Department may provide further direction for obtaining necessary signatures and returning the contract to the client by mail. Often, multiple copies of contracts require signatures. Ensure all the appropriate signatures are obtained prior to mailing any documents back to the client.


The Silver Spring Office keeps all original contracts. When mailing an original contract, send an email to the Contracts Department and the Silver Spring’s Office Coordinator informing them of the mailing. Indicate in the email the stage of execution for the contract, and that it is being mailed to Silver Spring for filing purposes. Place a note on the contract with the project number and indicate that it has already been scanned/saved and needs to be filed.
