All Staff Meetings occur on the first Monday of the month unless it falls on a holiday. In this case, the meeting will be the 2nd Monday. The calendar invites are sent out year at a time and by Admin Team Manager, Amila.

Breakdown of Timeline:
2-3 weeks before the next month's meeting:
- Create the Draft Agenda and send to RJ and Jennifer and ask them to confirm that the agenda is correct before it gets sent out to the larger group. Use the previous week's agenda as a template and be sure to Save As with the date of the next meeting. The agenda is created using the agenda items on the Miro Board (you may need to ask permission from Jennifer to view this).
- Once the agenda is confirmed, compile the Confirmed Roles email using the email template (attached) as a guide to those presenting as identified in the schedule, as well as Jennifer, RJ, the Admin Team, and IT. Attach the agenda to this email.
- Make sure the drafted PPT is created in the admin SharePoint. The link will have been provided in the confirmed roles email. The drafted template should have

- Folks will need to add their slides to the SharePoint using the master PowerPoint template. The deadline is 4 pm the Friday before the meeting.

Send the folder path to Jennifer and RJ for their review. Make sure to also cc' the admin team and Nick Bowen (or Ben Sigrist)
