Cards are graphically laid out and handled by someone in the Marketing Team. The basic process is outlined below.  All new hires are automatically sent proofs and reprints may be requested by emailing AdminHelp@tooledesign.com.

 

Shipping: Business cards are delivered to the staff’s home address directly from the supplier (Moo.com).  It is great when orders may be grouped and sent to one office, which allows us to save on shipping costs.

 

Process:

  1. All business card resources can be found at \Administrative\Staff\Business Cards.
  2. Staff cards are built manually using the InDesign file found in the resource folder.
  3. Employees may choose how they would like their name to read and be punctuated.
  4. The business card proof is emailed to the employee receiving the cards (cc their Supervisor) for approval.
  5. Once the proof has been approved, the Boston Office Coordinator submits the card to print on Moo.com.
  6. Once the OK to print is given, it will take 2 to 3 weeks for the cards to be delivered to any address.

Design Guidelines:

  • General design guidelines are saved at I:\Administrative\Staff\Business Cards.   I & II are not included with professional titles on business cards. Promotions from I to II happen frequently, so this increases the longevity of the cards.
  • Professional acronyms that are formatted without periods.
  • EIT (Engineer in Training) and EI (Engineering Intern) are both acceptable to put on cards if the employee wants to do so.
  • If possible, an employee’s professional acronyms should be on the same line as their name.
  • For offices without a permanent location, or offices that are likely to move soon, use “Envisioning what could be, then building it.” in place of the address.
  • Use “|” between titles. Do not use “/.”
  • Use periods between phone number sections (888.888.8888). Do not use dashes.
  • Master’s degrees are not typically indicated on the cards of technical staff. (Exception: MBA)
  • Unless otherwise specified, anyone who has “director,” “manager,” “senior,” or “practice lead” in their title should receive 100 cards.  Everyone else should get 50.

Tips:

  • Keep a look out for office moves, promotions, associate distinctions, new hires, or the earning of professional acronyms. These events likely mean that it’s time to order new business cards for those employees.
  • HR cc’s the Marketing Team on all new hires, so their business card proof can be prepared and sent to them during their first week of hire.
  • Pay close attention to cards for Canadian employees. The Professional Engineer distinction is notified P.Eng. instead of P.E. There can also be some spelling differences in titles (e.g. “liveable” instead of “livable”)
  • Any business card questions regarding titles, acronyms, number of cards to order, special requests from employees, etc. can go to hr@tooledesign.com. HR can also run reports of employee information if the master business card list is not up to date.
  • Fun fact: the back of the card serves as grid paper, a notebook, drafting triangles, imperial and metric scales, and a protractor.
