Each Toole Design office location has different management for their building services. This section details contact procedures for specific locations.


Boston

The main point of contact to liaise with the property management company is the Boston Office Coordinator. To request assistance from Synergy Investments, use the web portal and work order system called Building Engines. The following are instructions on how to enter a work order:

 

  • Choose a type of work order.

  • Enter all pertinent information into the appropriate fields.

  • Press ‘Save’ to enter the work order into the system.

 

The building handles most maintenance requests per the lease. Certain requests require a quote from the building as these are billable. Consult with the Office Director for any maintenance requests handled by the property management company which are billed. Request a quote as necessary through Building Engines. Some examples of this are replacing light bulbs, removing and disposing of large furniture, and painting the inside of the suite. All bills are sent to Silver Spring to be addressed by Accounting.

 

The Boston Office is leasing the space currently and have a space set aside for a tenant. The main point of contact for lease information and anything related to the tenant is the Boston Office Coordinator and Toole Design’s local Broker.

 

The Boston Office has bicycle parking in the basement. The main entrance to reach the bicycle parking is through the back door at 45 Batterymarch Street. If there is any difficulty accessing the basement, please call building Security at (617) 933-8716. Bicycles are forbidden in the main lobby unless otherwise instructed by the building and navigating the basement is discouraged. Please only use the basement to bring bicycles to the parking room and exit through the freight elevator. There are also two unisex bathrooms with showers located near the bike parking room in the basement. These are available for any tenant to use.

 

If there are any questions about the Boston Office’s building, property management company, lease, or anything similar, please contact the Boston Office Coordinator or Director.

 

Minneapolis

The Minneapolis Office is a leased space within a historical building. It is managed by a property management company. The main points of contact are the Office Director and the Minneapolis Office Coordinator, who email, call, visit in person with the property management staff onsite. There is also an online portal that is used to reserve the shared space on the main floor. All maintenance requests, safety issues and cleaning of common areas are handled through the building’s property management company.  Cleaning (trash removal, recycling and floors) within the Toole Design office is done by a third party.

Seattle

The Seattle Office is leasing a building managed by a property management company. All maintenance, repair, cleaning, and security issues must have a work order created in their online system, Building Engines. Log in to the system, select the appropriate work order type, and provide as many details on the issue as possible.  

Progress on a work orders can also be tracked through their system. Should an escalation be needed, email the property manager directly and include the work order number.
