The most important thing to remember is to make the Teams meeting from your personal calendar! We cannot make them from the Toole Design Group Admin calendar because none of us are the Organizers of that calendar - meaning no one can record, do breakout rooms, etc. because only the Organizer can do that!
When creating a Teams Meeting through Outlook, make sure you are on your personal calendar. If it is a meeting that should not be scheduled over, make sure you add Toole Design Group Admin to the Attendees list.
If you are not going to be in the meeting that you are creating (Ex - Supervisor's Chat, DEI/Implicit Bias Trainings, etc.) make sure you invite the person/people running the meeting separately from any group. They cannot be in a group such as "Leadership" or "Minneapolis" and be placed as a Co-Organizer:
Making someone a Co-Organizer allows them the ability to record, create breakout rooms, and download the recording/transcription afterwards. To make someone a Co-Organizer, send the meeting invite, then from the event in Outlook, click on Meeting options:
Then click, Roles on the left side and add the name of the person or people under Choose co-organizers:
Remember to hit Save! Only the names of the people who you added separately from any group will show up as an option!
