When scheduling a meeting in Outlook, always include a topic for the meeting.
- In Outlook, on the Home tab, in the Newgroup, do one of the following:
- From the inbox, choose New Items and click on New Meeting.
- In Calendar, click New Meeting. Outlook will create a meeting invitation.
- Add attendees in the To field or select them from the Address Book. Designate attendees as Required, Optional, or Resources.
- Enter a clear Subject and select the meeting Location. Use Rooms to book an available conference room.
- Use the Scheduling Assistant to find a time when attendees and meeting rooms are available.
- Set the meeting Start and End date/time. For all-day events, select All Day Event.
- If needed, configure:
- Recurrence for repeating meetings.
- Time Zones for attendees in different locations.
- Add meeting details and any relevant instructions in the message body.
- To include supporting documents, select Insert > Attach File and choose the appropriate file.
- Review the meeting details and click Send. Invitation responses will be delivered to the organizer's inbox.
