Creating Teams Meetings

Always create Teams meetings from your personal Outlook calendar—not the Toole Design Group Admin calendar.

The Group Admin calendar does not have an organizer, which means meeting features such as recording, breakout rooms, and meeting management are unavailable.

Creating the Meeting

  1. Create the meeting from your personal calendar.

  2. If the meeting time should be blocked on the Admin calendar, add Toole Design Group Admin as an attendee.

Assigning a Co-Organizer

If you will not be attending the meeting (e.g., Supervisor Chats or DEI trainings), assign the meeting facilitator as a Co-Organizer.

Important: The facilitator must be invited individually—not only through a distribution list or group (such as "Leadership" or an office group). Only individually invited attendees can be assigned as Co-Organizers.

To assign a Co-Organizer:

  1. Send the meeting invitation.

  2. Open the meeting in Outlook and select Meeting Options.

  3. Select Roles.

  4. Under Choose Co-organizers, add the appropriate individual(s).

  5. Click Save.

Co-Organizers can:

  • Start and manage the meeting

  • Record the meeting

  • Create and manage breakout rooms

  • Download the meeting recording and transcript
