Boston
All guests at Toole Design Boston are generally expected. When security or an individual requests entrance, check their name against the list of expected guests. After the expected individual has been checked, call the staff they are here to see and let them know of their guests’ arrival.
If a guest’s name is not listed, and they are not a delivery service, ask who they are here to see and call that person to confirm. Once confirmation is received, give approval for the guest to be sent up by security or go escort them up.
- Greet all guests with a smile.
- Offer them a beverage (water or coffee), and a chance to go to the restroom.
- Escort the guest to their designated area as they await their meeting.
- At departure, escort the guest downstairs or let them leave of their own will.
The Boston office security procedure is to provide a note to Security when guests are expected. This note includes the guests name, when they are expected, company name (if necessary), and who they are visiting at Toole Design.
Immediately report security issues to the Security staff at the front desk of the building. The building is unlocked from 7 AM to 7 PM. Toole Design’s suite is unlocked from 9 AM to 5 PM. If there is an issue accessing the freight elevator, contact building Security. Staff may contact Security about issues with the bike parking in the basement by the posted phone number.
There are security cards to access the building and office suite. Security card information, including as the 5 digit number on the card, is tracked on a spreadsheet which is available on the shared drive at the following address:
This spreadsheet is provided to IT and Tenant Services to help ensure they have all the correct and current information when updating their systems. (Note this was last updated in September 2019.)
Lost security cards are also tracked on this spreadsheet. New cards cost $15.00. To get a new card, create a work order for the building and they will furnish an active card, then contact Tenant Services for access to the building. For a new security cards to access the suite, create an IT HelpDesk ticket.
When there is a separation, security cards are collected from the employee leaving the company. The card is then reassigned as “Extra” to ensure it remains active. Office guests can use the “Extra” cards.
Minneapolis
The Minneapolis office is housed within “The Colonial Warehouse” and is open M-F from 8:00am-6:00pm. A staff member from the property management or a member of the building security is at the front desk from 10am-4pm Central Time. Guests are not required to check in or obtain a pass to visit our office. For access to the building outside these hours, a key fob must be used which is issued to all Toole Design staff members upon hire.
Seattle
There is a Security guard on duty at the desk downstairs in the lobby weekdays when the building is open. All urgent security issues should be reported to the guard as soon as possible.
The Seattle Office suite is unlocked from 8 AM to 5 PM. There is an access code for the secure side door to the suite. Key cards are required for entry to the bike storage and fitness area. Key cards must be obtained through the building management online work order system.
Spartanburg
The Spartanburg Office is open M-F from 8:00am-5:00pm. There is no front desk or security. When the building is open, guests are able to enter through the main entrance and take the elevator up to the third floor. For access to the building outside normal working hours or to access either of the side doors, a key fob must be used which is issued to all Toole Design staff upon hire.
Silver Spring
The Silver Spring office requires an electronic key fobs to access the elevators and any floors above the lobby. Unaccompanied visitors are required to check in with Security in the lobby. Security will call the Silver Springs front desk to confirm that the visitor is permitted entry and send the visitor up the elevator when given permission.
When guests are expected, email Security with the person’s name, and the date and time of their visit. A phone call to the Security desk is enough if the guest is expected shortly.
