Occasionally hiring managers will ask that new hires meet with a member of the admin team as part of their usual meet and greets with members of the company. Here are some good talking points when meeting with new staff:
- Introduce yourself! Your role, location, and how long you've been with the company. Include some responsibilities that are specific to you.
- Introduce the team! Everyone's names, locations, and general responsibilities.
- How can we help them? Give them a list of the different ways in which we can provide assistance:
- Scheduling meetings
- Placing supplies orders
- Editing documents
- Printing
- Taking meeting notes (for internal and external meetings)
- Booking travel and stay
- Document accessibility
- Shipping and mailing
- Conference registration
- Project invoices
- Things to know! Let them know about recurring meetings and different goings-on in the company that they can take part in:
- All-Staff meetings
- Optional affinity groups (currently BIPOC and queer groups)
- Book clubs
- Pride month
- DEI teams
- APBP webinars
- Conferences
- Photo contest
- Project of the Year
- Halloween costume contest
- How can they reach us? Let them know we can be reached at AdminHELP@tooledesign.com
- For one-on-ones, I like to let them know they can message me directly on Teams if they have any questions, since we've built a rapport and it can be less intimidating than emailing a whole group.
Finally, let them know we're here to help in many ways! If they aren't sure if something falls under our jurisdiction, encourage them to ask anyway so we can at least point them in the right direction!
(Note: these meet and greets are generally scheduled for 30 minutes at a time, but you may only need about 15 minutes to cover everything.)
